Qualified candidates will have the following:

 

  • Associates Degree or equivalent
  • Five years experience in an office support, Facilities Department or customer service position
  • Proficient with Excel, Word and Outlook, working knowledge of PowerPoint
  • Strong communication and interpersonal skills and excellent organizational and project management skills required
  • Able to work independently and complete necessary tasks without consistent supervision
  • Experience with vendor coordination and automated security systems a plus

 

Responsibilities:

  • Answer department phone line and address caller need
  • Process department expense reporting through Concur
  • Assist department with department meeting scheduling, coordinating special team projects 
  • Complete Facilities related process and paperwork for new hires and terminations (internal company employee location system, system access, ID badges etc)
  • Coordinate service calls for general maintenance of the buildings as requested
  • Assist with the employee relocation process for employees by contacting vendors, reviewing costs, making recommendations, verifying and processing invoices for payment
  • Maintain the employee ID badge process (create, assign and distribute)
  • Manage the vehicle RFID process for employees  
  • Manage current conference calling accounts for accuracy and department allocation
  • Special projects or other duties as assigned

 

Essential Functions of the job:

The following physical demands are required on a consistent and/or frequent basis:

  • Ability to lift 1 to 20 lbs frequently; 21 to 30 lbs moderately; more than 30 lbs occasionally
  • Overtime may be required and weekends due to projects as needed.
  • May be required to work some holiday hours
